This Privacy Policy explains how Qualigon collects, uses, discloses, and protects personal data through our website, communications, and software services.
Because Qualigon is designed for use in highly regulated GMP environments, we approach privacy with an emphasis on confidentiality, controlled access, traceability, and customer governance.
Depending on the context, Qualigon may act either as a controller of personal data for its own business operations or as a processor or service provider acting on behalf of a customer.
1. Scope
This Privacy Policy applies to personal data processed by Qualigon through our website, business development activities, customer communications, and software services.
Where Qualigon processes personal data on behalf of a customer, the customer remains responsible for determining the purposes and means of that processing and for its own compliance with applicable privacy, employment, GMP, and recordkeeping obligations.
2. Information We Collect
We may collect information you provide directly, including your name, business email address, company, job title, and any other information you submit through forms, email, or other communications with us.
When customers use Qualigon, we may process customer workspace data and investigation-related materials, including records, documents, deviation details, SOP references, notes, audit trail events, and other content that customers choose to store in or connect to the service.
We may also collect technical and operational information needed to operate and secure the service, including log data, IP address, device and browser information, authentication events, timestamps, diagnostics, and usage data.
Customers retain all rights, title, and interest in the data they submit to or process through the service. Qualigon processes such data solely to provide and support the service in accordance with customer instructions, applicable agreements, and applicable law.
3. How We Use Information
We use personal data to provide, maintain, support, and improve our website and services; manage accounts; respond to requests; schedule demos; communicate with customers and prospective customers; and operate our business.
We also use personal data for security, integrity, compliance, incident response, auditing, access control, fraud prevention, and enforcement of our contractual and legal rights.
We may use business contact information to send service-related notices and, where permitted by law, relevant marketing or product communications. You may opt out of non-essential marketing communications at any time.
4. Legal Bases for Processing
Where required by applicable law, we process personal data based on one or more legal grounds, including performance of a contract, legitimate interests, compliance with legal obligations, and consent where consent is required.
5. How We Share Information
We do not sell personal data. We may share personal data with service providers and subprocessors that assist with hosting, infrastructure, security, analytics, communications, customer support, and other business operations, subject to appropriate confidentiality and data protection obligations.
We may also share information where required to comply with law, protect rights or safety, enforce agreements, investigate suspected misuse, or in connection with a financing, merger, acquisition, reorganization, or similar corporate transaction.
Where customers direct us to integrate with other systems or authorize access by additional users or partners, we may process and disclose data in accordance with those instructions.
6. Privacy in Regulated GMP Environments
Qualigon is designed for life sciences and manufacturing teams operating in regulated environments. As a result, our platform is intended to support controlled access, auditability, and traceability.
Customers remain responsible for their own GMP procedures, validation decisions, review and approval workflows, and regulatory obligations. This public Privacy Policy does not replace customer-specific contractual commitments, security documentation, or data processing addenda.
Qualigon does not use customer confidential information to train shared foundation models.
7. AI-Assisted Functionality
Qualigon uses machine learning models to generate suggested hypotheses, analyses, and draft content based on available data.
These outputs are probabilistic in nature and are intended to support, not replace, the judgment of qualified personnel. Customers are responsible for reviewing, validating, and approving all outputs before relying on them in regulated workflows.
Qualigon's outputs are not intended to serve as the sole basis for regulated quality or manufacturing decisions without appropriate human review.
8. Data Retention
We retain personal data for as long as reasonably necessary to provide the service, fulfill the purposes described in this Privacy Policy, comply with legal and contractual obligations, resolve disputes, and enforce our agreements.
In customer environments, retention and deletion may also be governed by customer instructions, customer configuration, and applicable contractual terms.
Upon termination of the service or upon customer request, Qualigon will delete or return customer data in accordance with applicable contractual terms, except where retention is required by law.
9. Security
We use administrative, technical, and organizational measures intended to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include encryption in transit and at rest, role-based access controls, authentication safeguards, logging, internal access restrictions, and vendor oversight. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Customer data is logically segregated between tenants, and access is restricted based on role and authorization. System activity is logged to support auditability, security monitoring, and incident investigation.
10. International Data Transfers
Depending on the deployment and support model, personal data may be processed in the United States or other jurisdictions where Qualigon or its service providers operate.
Where required by law, we use appropriate transfer mechanisms and contractual protections for cross-border transfers of personal data, including Standard Contractual Clauses where applicable.
11. Subprocessors
Qualigon may engage subprocessors to help deliver the service, including providers of hosting, infrastructure, security, communications, and support services.
Qualigon maintains a list of subprocessors used to deliver the service. This list is available upon request.
12. Your Rights and Choices
Depending on your jurisdiction, you may have rights to request access to, correction of, deletion of, restriction of, or portability of certain personal data, or to object to certain processing activities.
If Qualigon processes your personal data on behalf of a customer, we may direct your request to that customer, as they may be the party responsible for responding under applicable law.

13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, operations, legal requirements, or privacy practices. When we do, we will update the effective date and post the revised version on this page.
